Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH is an international enterprise for cooperation and sustainable development, owned by the German Federal Government and active in 130 countries worldwide. On behalf of German Federal Ministry for Economic Cooperation and Development, GIZ has been working in Tajikistan since 1995.
GIZ is inviting applicants for the following vacant positionin the Local EconomicDevelopment in Selected High Mountain RegionsProject:
Area of responsibility
§ Providing administrative services for the project;
§ Meeting the administrative needs of the office independently, with a minimum of intervention;
§ Ensuring that financial and administrative regulations are compliant with GIZ standards and procedures;
§ Managing the support and administrative staff at the project office.
§ Ensure that pertinent information is provided to projectstaff, partners and other institutions;
§ Accompany the project manager or other team members to meetings if necessary;
§ Organise internal meetings;
§ Manage logistics, i.e. ensures the availability of cars/drivers according to the needs of other project staff;
§ Organise administrative and logistical aspects of project activities (meetings, workshops etc.) under GIZ rules;
§ Ensure that computers and software function properly;
§ Monitor the availability of accessories and stocks and carry out procurement in accordance with guidelines and in time;
§ File documents in reference files or in DMS in line with GIZ’s filing rules;
§ Manage confidential files, specifically in the areas of personnel and finance;
§ PR activities of the project (i.e. design and production of factsheets, banners, etc.);
§ Monitor communication and interaction between governmental institutions, NGOs and society by analysing the media, engaging in direct dialogue, and participating in meetings and seminars;
§ Manage and monitor the monthly accounting and financial plans;
§ Financial management, such as cash withdrawals, keeping the cashbook, bank accounts, preparing and entering vouchers in accordance with GIZ standards procedures;
§ Check travel expense statements of staff for approval by the superior;
§ Audit project accounting in accordance with GIZ’s internal controlling manual;
§ Maintain good communication with national partners on upcoming events and connected financial aspects (tickets, per-diems, accommodation reservation etc.).
§ University degree in relevant specialisation and qualification in business administration desirable (equivalent of BA or MBA);
§ At least 3 years’ professional experience in a comparable position;
§ Good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office);
§ Very good knowledge of the European language widely used in the country, ideally a knowledge of English or German;
§ In-depth understanding of financial planning and accounting;
§ Broad experience of management and administration;
§ Willingness to upskill as required by the tasks to be performed.
